Can Generative AI Build a Start-Up Company Operating Model for You?

I was listening to a podcast recently where there was a lawyer discussing how AI has helped him immensely when it comes to his research on law and prior cases. Research tasks which would have previously taken a significant time investment from a team of people can now be undertaken by AI with immediate results. It had proved to be a real productivity improvement.

I’ve encountered a similar productivity recently with the establishment of the TurningPoint Advisory business and the need to create dell-defined policies, procedures and hiring processes to operate and scale efficiently. Finding templates and drafting these documents from scratch can be time-consuming. With the assistance of generative AI, it is now very easy to streamline this process by leveraging AI-driven tools to create structured, compliant, and detailed documentation. In this blog, we will explore my experience into how generative AI can assist in setting up company processes, policies and hiring procedures efficiently.

The Importance of Well-Defined Processes, Policies, and Procedures

Every successful business thrives on clarity and structure. Well-documented company processes help in:

  • Ensuring consistency and efficiency
  • Meeting legal and regulatory compliance
  • Reducing risks and liabilities
  • Enhancing employee productivity and engagement

Producing the content for these processes and policies is time consuming and often daunting even knowing where to start. To take on this challenge at speed, I made use of three publicly available generative AI tools which were: OpenAI’s ChatGPT, Microsoft Copilot and Anthropic’ Claude.

Using Generative AI for Process & Policy Development

1. Defining Business Processes

AI-powered tools can assist in mapping out business processes by:

  • Recommending optimal workflows based on learnings within its own LLM
  • Analysing your existing workflows
  • Identifying inefficiencies and suggesting improvements
  • Generating standard operating procedures (SOPs) automatically

By inputting industry-specific data, AI can generate tailored processes that fit a company’s unique operational needs. The more specific you are with your industry, location and intended output – the better the content generated will be.

2. Automating Policy Creation

Policies are crucial for maintaining compliance and guiding employees. AI can help in:

  • Drafting HR policies (e.g., workplace conduct, remote work policies, data privacy policies)
  • Creating financial policies (e.g., expense reimbursement, budgeting guidelines)
  • Ensuring regulatory compliance (e.g., GDPR, HIPAA)

AI-driven tools can keep policies updated by continuously scanning legal databases and industry standards, ensuring businesses remain compliant with evolving regulations. Luckily, from all my years working in large consulting firms I had a good background with regards to what a good policy would look like for our business. This background knowledge was critical in knowing what was good content generated and what needed to be tweaked to be relevant for my business.

Hiring People with the Help of AI

Recruitment is one of the most critical aspects of business growth. Generative AI can transform the hiring process in the following ways:

1. Writing Job Descriptions

Generative AI can instantly create clear, structured, and engaging job descriptions based on:

  • Industry benchmarks
  • Required skills, experience & certifications
  • Company culture and values

This was gold for me. Being able to generate role descriptions including critical requirements like required industry certifications proved very useful. This was probably the area that required the least amount of editing by me based on the content generated.

2. Screening Resumes Efficiently

AI-powered applicant tracking systems (ATS) can:

  • Scan and rank resumes based on job fit
  • Identify candidates who align with job requirements
  • Reduce bias in hiring decisions

Again, what a time saver this is. It’s amazing how many people ally for roles blindly where they aren’t even close to meeting the role requirements. Having the tool sift through these was a time saver.  

3. Generating Onboarding Documents and Training Materials

Once a candidate is hired, generative AI can assist in drafting:

  • Employment contracts
  • Onboarding guides
  • Training manuals

This speeds up the onboarding process and ensures consistency in training materials. You can save a lot of cost by being able to take this on yourself without engaging an external organisation – particularly for training. Critical for a small business.

My learning for Implementing AI in Company Documentation

  1. These tools are a FANTASTIC productivity booster – Being able to generate a document in seconds that I can use as a base for a policy or a procedure was such a time saver. The more specific I was with my prompts, e.g. make it specific for NSW law, the better the output.
  1. Human oversight is essential – AI-generated content should always be reviewed by a human to ensure accuracy. Don’t just blindly trust what it has generated without reading everything. There are things you will pick up on that you have to edit. I found this to be the case for every single document generated.
  1. Don’t just trust one LLM – Not all LLM’s are the same and they all give slightly different results. I often went to all three and compared what was generated to pick and choose which was the best content to form part of the final document.
  1. Sometimes you do need a further subject matter expert review – Unless you are a subject matter expert in the particular area, it pays to have an expert, at the very least, review the final output (e.g. legal or accountant). They can pick up on nuances that the AI tools often lack the context or awareness to address.
